Contract cleaning: what is in the contract, and which parts move the price
Contract cleaning means the recurring agreement rather than the one-off job: a fixed scope, a fixed frequency and a monthly figure that is supposed to hold. What decides that figure is not really the cleaning, it is the specification behind it. Two buildings of identical size with identical rates will pay differently because one specified daily restroom disinfection and the other specified it three nights a week. The specification decisions that move the number
- Frequency by area, not by building. Restrooms, kitchens and lobbies almost always need a different frequency from open-plan desking. A single building-wide frequency is the most expensive way to specify a clean.
- The periodics and who schedules them. Carpet extraction, floor care, high dusting and window work are periodic. Naming them and their intervals moves them out of the grey area where they become change orders.
- Consumables in or out. Paper and soap are a real cost and a real margin. Either is fine; the quotes just have to agree which.
- The term and the exit. A long term buys a better rate and costs you flexibility. A notice period you can actually use is worth more than a small discount.
Common questions
- How long should a cleaning contract run?
- Long enough for the contractor to recover mobilisation, short enough that poor performance has a consequence. One year with a clean notice period is the common landing point.
- Should the contract be per square foot or a monthly fee?
- A monthly fee is easier to budget; a per square foot rate makes the effect of changing the space visible. Many contracts state both, which is the most useful arrangement.
- What happens when the space changes?
- Say so in the contract. A stated rate per square foot for added or removed area turns a renegotiation into arithmetic.
